EdSource is an independent and impartial nonprofit research and communications firm in Mountain View, California, committed to clarifying complex education issues. We have served California for more than 30 years. We are seeking a full-time administrative associate who will also act as an assistant office manager.
EdSource's small staff of 16 enjoys a collegial atmosphere, but it is a fast-paced deadline-driven environment with exceptionally high expectations for quality work. Job Description
Working closely with our Office Manager and Senior Administrator, this person will:
- Help coordinate support services and provide direct support as needed to our research and communication staffs across a broad spectrum of activities, including:
- basic clerical assistance, including document proofing and formatting, copying, and basic Internet searches as requested
- meeting logistics, including scheduling, copying and organization of meeting materials, setup, and cleanup
- travel arrangements and logistics related to presentations
- Support basic agency organizational tasks such as filing, library maintenance, office email issues, purchasing, and office upkeep.
- Coordinate all office and computer equipment issues, including:
- serving as first-line troubleshooter
- serving as office liaison with external computer and office equipment consultants
- keeping maintenance and other equipment records
- Serve as a first point of public contact for the agency, whether in person when visitors come to the office, by phone, or via email. The agency has a strong commitment to customer service and personal attention to all who contact us, and to handling these communications appropriately.
Qualifications
- Some college required, bachelor’s degree preferred
- At least 4 years of professional administrative experience or equivalent
- Excellent writing, proofreading, verbal communication, and phone skills required
- Strong computer skills, including thorough knowledge of Word and Excel, familiarity with both Macs and PCs
- Ability to troubleshoot basic computer and office equipment issues and interface with technical vendors
- Interest in EdSource mission and familiarity with California’s public school system highly desirable
- Ability to do both complex and routine work under pressure and with frequent interruptions
- Personable, professional demeanor and appearance, with strong interpersonal communication skills
- Highly organized self starter
This position is full-time (37.5 hours per week). Our office offers some flexibility in regard to specific work hours, although we envision this as a five-day-a-week position. Compensation commensurate with experience and skills. Vacation, sick leave, and other benefits.
